Job Description

PRIMARY PURPOSE OF JOB AND CONTRIBUTION TO ORGANIZATION: This position supports production objectives by performing a wide range of tasks with the sales order entry processes.

DUTIES AND RESPONSIBILITIES: The following job functions are not all-inclusive. The employee will be required to perform other job-related tasks/responsibilities requested by the supervisor. Job duties may change as required by needs of the company.

  • Perform all the functions associated with the sales order entry process as instructed by your supervisor. Responsibilities are subject to change based on supervisor’s direction.
  • Take receipt of all incoming purchase orders and advise the quoting team member of receipt of purchase order for review.
  • Review all purchase orders for proper buyers’ name, address, shipping terms and payment terms. Request revisions as required.
  • Complete the sales order entry process per Interroll Engineering West guidelines.
  • Enter all orders into the shipping forecast based on standard lead times. For all orders shorter than standard lead, individual will facilitate a shipping date discussion with production.
  • Send sales order acknowledgements to the customer and copy the sales representative within 24-48 business hours on average for receipt of the purchase order.
  • Develop and document process improvements relating to the job with the Customer Support Manager.
  • Assist Parts Sales team with order entry.
  • Manage all customer change requests and order entry.
  • Compile, verify accuracy and sort information according to priorities.
  • Generate reports as requested by supervisor.
  • Perform all duties assigned as required in an agreed upon timeline.
  • Maintain a clean and safe work area. Ensure company policies are applied and enforced (i.e. operational, safety, administrative, etc.)
  • Focus on improved productivity levels in a manner that stresses effectiveness by improving processes.

  6. AAS/BS Degree in Marketing, Sales, or business-related curriculum and two years sales order processing experience or a high school degree with a minimum of five years of extensive sales, customer service, data entry experience and a basic understanding of SAP software processes preferred.
  7. Individual must be able to adapt to changing situations and show solid experience in developing a business relationship, internally and externally.
  8. Must possess a strong background in computer literacy with all Microsoft programs and SAP software.
  9. Ability to work in a highly dynamic and fast paced environment.
  10. Intermediate to expertise knowledge of all standard office equipment (copiers, fax, scanner, computer, and phone).
  11. Strong knowledge and ability to work with word processing, spreadsheets, and other computer applications.
  12. Effective reading and comprehension at a level appropriate to duties assigned to position.
  13. Ability to establish cooperative working relationships with other workers, customers, and management. Ability to work and meet demanding deadlines.
  14. Excellent organizational skills.
  15. Strong attention to detail, ability to be thorough, punctual, and keep information confidential.

PHYSICAL DEMANDS: This position requires prolonged periods of sitting at a desk and working on a computer. Incumbent must be able to occasionally lift and carry up to 50 pounds. The employee is regularly required to use hands/fingers to feel, and handle; the employee must regularly reach with hands and arms. The employee is occasionally required to walk, stoop, kneel, crouch, crawl, talk and hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. The noise level in the work environment is regular factory noises and is generally loud. Wearing the proper PPE (protective eyewear, ear plugs and steal toed shoes) is a requirement in most areas of this facility.
