Job Description

Position Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to a member of our C-suite. This individual will act as a trusted partner, helping to manage daily operations, facilitate communication, and ensure the executive’s time is utilized effectively. The ideal candidate is resourceful, professional, and capable of handling confidential information with discretion.

Key Responsibilities:

  • Manage complex calendars, including scheduling meetings, appointments, travel, and conference calls across multiple time zones
  • Coordinate logistics for meetings, including preparation of agendas, materials, presentations, and follow-up items
  • Handle sensitive and confidential information with discretion and sound judgment
  • Serve as a liaison between the executive and internal/external stakeholders
  • Draft, proofread, and manage correspondence, reports, and presentations
  • Arrange domestic and international travel, including detailed itineraries and expense reports
  • Track key deadlines, deliverables, and priorities to ensure timely execution
  • Support the planning and execution of executive team meetings, offsites, and company-wide events
  • Anticipate needs and proactively identify opportunities to streamline workflows and improve efficiency

Qualifications:

  • 5+ years of experience supporting C-suite or senior-level executives
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • High level of professionalism and discretion
  • Proven ability to manage multiple tasks and shifting priorities in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with collaboration tools like Zoom, Slack, and Teams is a plus
  • Bachelor’s degree preferred
